Overview

This position is responsible for providing efficient and professional administrative support with a variety of projects and tasks. With a pleasant, customer-service approach, he/she will work collaboratively and effectively with various internal and external customers.

Provides assistance in all aspects of project documentation as guided by the company’s Project Management Methodology, including project proposals, business cases and related research, preparation of materials in support of presentations, tasks related to project schedule creation and maintenance, meeting minutes, status reporting and issues/risks logs.

He/she is also expected to become proficient with and use any project-related support tools (such as SharePoint) and working closely with the project team to achieve the project’s stated business objectives. 

Responsibilities

  • Responsible for all administrative and clerical duties associated with the department’s day-to-day and project needs
  • Represent the departments, as necessary, on internal or external workgroups/committees
  • Working with project leads to create and maintain detailed project plans, budgets and resource allocations using the company’s Project Management Methodology
  • Support the development and maintenance of detailed project plans, budgets and resource allocations using project management methods
  • Keep the project management reporting process updated with appropriate information including preparing and compiling periodic progress reports to the Senior Management Team
  • Collaborate with team members to document key work flows and policies and procedures of the department
  • Assist with preparation of reports for dissemination, including formatting of text, charts, graphs, and tables and layout of final documents
  • Coordinate all team, internal and external meetings to include room setup, refreshments, equipment and reception
  • Coordinate external customer demonstrations for department
  • Prepare PowerPoint presentations
  • Coordinate lunch, travel arrangements and other events as requested by management
  • Organizes and accurately maintains filing system of confidential information and secure them in accordance with HIPAA
  • Schedule orientations for new staff members in the department
  • Develop and maintain relevant checklists and/or user guides for internal use in relation to key tasks
  • Provide production support, photocopying and binding
  • Assist with administration linked to projects and clients including: correspondence, final production of reports, proposals and presentations; invoicing; photocopying; filing and archiving project information
  • Prepare and track department’s invoices, expense reports, purchase orders and check requests
  • Maintains supply inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
  • Maintain and suggest improvements to day-to-day administrative processes; implement quality improvement initiatives, as necessary
  • Maintains professional and technical knowledge by attending educational workshops, reviewing professional publications and other training as needed
  • Other duties as assigned
  • Corporate Compliance Responsibility - As an essential function, responsible for complying with Neighborhood’s Corporate Compliance Program, Standards of Business Conduct, applicable contracts, laws, rules and regulations, policies and procedures as it applies to individual job duties, the department, and  the Company. This position must exercise due diligence to prevent, detect and report unlawful and/or unethical conduct by fellow co-workers, professional affiliates and/or agents

Qualifications

Required:

  • A High School Degree or equivalent
  • Training/certification in secretarial and/or office administrative procedures
  • Three (3)+ years’ experience working within a project environment utilizing established project methodology
  • Professional experience displaying strong communication skills (written and verbal) and interacting effectively with project teams and sponsors independently
  • Intermediate to Advanced skills in Microsoft Office (Project, Word, Excel, PowerPoint, Outlook, Visio), internet
  • Excellent planning, organization and coordination skills
  • Ability to multi-task and handle multiple priorities
  • Excellent typing skills
  • Business writing experience
  • Ability to understand and support data analysis activities
  • Ability to work cooperatively with a large group of people from different functional organizations
  • Commitment to continuous quality improvement methods

Preferred:

  • Exposure to and understanding of the health care delivery system
  • Managed care experience
  • Experience with various software applications
  • Experience in SharePoint collaboration software
  • Bilingual
