  • Overview

    The Receptionist is responsible for handling the front desk reception area by greeting visitors, in person or on the telephone, welcoming and directing them appropriately. He/she is responsible for maintaining a pleasant, welcoming, efficient and professional reception area. He/she will maintain security by following procedures; monitoring logbook; issuing visitor badges. He/she will maintain a safe and clean reception area by complying with procedures, rules and regulations. He/she assists with mail coordination and distribution; may also serve as a backup to the Mailroom Coordinator.

    Responsibilities

    • Greets and directs visitors appropriately in a pleasant and helpful fashion
    • Acts as point of origin for visitors and directing visitors appropriately
    • Answers telephone and directs the caller to the appropriate recipients
    • Answer inquiries about company. Provides callers with information such as company address, directions to the company location, company fax numbers, company website and other related information
    • Provide visitors badges and direct them to where they can sign in/sign out
    • Ensure reception area is tidy
    • Coordinates the pick-up and delivery of express mail services (FedEx, UPS, etc.)
    • Assist in sorting, distributing, weighs and stamps internal mail in an efficient and timely basis
    • Support mailroom with various daily mailings
    • Assist with other related clerical duties such as photocopying, faxing, filing and collating
    • Other duties as assigned
    • Corporate Compliance Responsibility - As an essential function, responsible for complying with Neighborhood’s Corporate Compliance Program, Standards of Business Conduct, applicable contracts, laws, rules and regulations, policies, and procedures as it applies to individual job duties, the department, and  the Company. This position must exercise due diligence to prevent, detect, and report unlawful and/or unethical conduct by fellow co-workers, professional affiliates and/or agents.

    Qualifications

    Required:

    • High School Diploma or equivalent
    • One (1) to Three (3) years of switchboard experience
    • Excellent telephone skills
    • Good listening and verbal communication
    • Professional conduct, customer focused attitude, good people skills
    • Ability to work independently as well as part of a team environment
    • Beginner to Intermediate skills in Microsoft Office (Word, Excel, PowerPoint, Outlook)
    • Ability to move 25 lbs.

    Preferred:

    • Advanced training or additional experience and background in field
    • Familiar with office machines including fax, copiers, scanners, printers and folder/inserter
    • Fluency in Spanish
