  • Overview

    This position will provide general administrative/clerical assistance and project related support to the Operations Support  department and will support the Operations Support Director and Managers with project administration tasks and other duties: He/she will support the development and maintenance of detailed project plans, budgets and resource allocation using project management methods, provide administrative/organizational support for teams within Operations Support and assist with preparation of reports for dissemination, including formatting of text, charts, graphs, and tables and layout of final documents.


    • Administrative responsibilities: Oversee the Department's administrative budget, including tracking and managing variances to budget, contracts, purchase orders, check requests, and invoices
    • Collaborate with team members to document key work flows and policies and procedures of the department
    • Take and transcribe minutes at meetings
    • Prepare, organize and maintenance of documents and electronic files and support of the Department's SharePoint portal
    • Prepare PowerPoint presentations
    • Calendar management for Director and Managers
    • Coordinate travel arrangements and paperwork for Director and Managers
    • General clerical duties: faxing, copying, mail distribution, organizing and supporting meetings, ordering supplies, etc. 
    • .Assist the Department with other data-related activities, as needed 
    • Represent the Department on internal workgroups and committees. 
    • Responsible for all administrative and clerical duties associated with the department’s day-to-day and project needs
    • Assist with preparation of reports for dissemination, including formatting of text, charts, graphs, and tables and layout of final documents
    • Coordinate all team, internal and external meetings to include room setup, refreshments, equipment and reception
    • Coordinate lunch, travel arrangements and other events as requested by management
    • Organizes and accurately maintains filing system of confidential information and secure them in accordance with HIPAA
    • Schedule orientations for new staff members in the department
    • Prepare and track department’s invoices, expense reports, purchase orders and check requests
    • Maintains supply inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
    • Maintain and suggest improvements to day-to-day administrative processes; implement quality improvement initiatives, as necessary
    • Other duties as assigned

    • A High School Degree or equivalent
    • Training/certification in secretarial and/or office administrative procedures
    • Three (3)+ years’ experience working within a project environment utilizing established project methodology
    • Professional experience displaying strong communication skills (written and verbal) and interacting effectively with project teams and sponsors independently
    • Intermediate to Advanced skills in Microsoft Office (Project, Word, Excel, PowerPoint, Outlook, Visio), internet
    • Excellent planning, organization and coordination skills
    • Ability to multi-task and handle multiple priorities
    • Excellent typing skills
    • Business writing experience
    • Ability to understand and support data analysis activities
    • Ability to work cooperatively with a large group of people from different functional organizations
    • Commitment to continuous quality improvement methods


    • Exposure to and understanding of the health care delivery system
    • Managed care experience
    • Experience with various software applications
    • Experience in SharePoint collaboration software
    • Bilingual
